    Event Services Manager

    This is a service position with Complex Sports & Entertainment. All service positions in this department are focused on providing world-class customer service in the property’s tours, experiences, special events and major events categories.

    Job title: Event Services Manager

    Reports to: General Manager

    Job purpose

    Under general direction and supervision, the Event Services Manager will plan and execute events at the property in the Tours, Experiences, Special Events and Major Events categories. This position will coordinate all event details including budget preparation, event logistics and execution, and event staff supervision.

    Duties and responsibilities

    Event Operations

    • Serves as the liaison and client representative to provide planning, implementation and delivery of all assigned events at the property.
    • Creates and follows through on events from initial client meetings, preparation of client estimates and license agreements through final billing.
    • Oversees third-party vendors to ensure quality products and events for clients.
    • Coordinates event schedules with contracted security/staffing companies.
    • Provides guidance and supervision during events and follows up after all events to ensure proper billing.
    • Communicates all event requirements (staffing, set-up plans, etc.) to appropriate departments.
    • Sets expectations for guest services, building security, emergency preparation and crowd control procedures for assigned events; monitors compliance and responds to concerns as needed.
    • Creates and maintains event files; creates and distributes Event Memos for all events.
    • Builds strong client relationships and updates guest history in order to meet their needs and encourage repeat business.
    • Works with property General Manager and Sales Manager to generate new business revenue.
    • Conducts facility site visits for prospective clients; assists with general site visits as needed.
    • Works in conjunction with the General Manager to produce large-scale, full venue events as needed.
    • As scheduled, works flexible/varied hours, including nights, weekends and holidays.

    Venue Tours & Experiences

    • Assists the director in directing, supervising and scheduling all aspects of daily venue tours operations, including; daily venue conversions; technical services; event services, including ADA compliance; public safety; security; custodial services and parking departments.
    • Coordinates tours & experience operations/activities with other venue departments and related contractors.
    • Manages the tours & experiences department calendar and assures that the venue calendar is updated and accurate.
    • Implement facility rules, policies and procedures.
    • Anticipates problems and appropriate solutions. Investigates, analyzes and resolves operational problems and complaints.
    • Provides clear, concise and timely communication of directives to other departments.
    • Assures facility readiness and smooth operation of daily tours & experiences.
    • Manages subordinate part-time staff in the tours & experiences department, including department scheduling.

    Job purpose

    The Sales Manager with Complex Sports & Entertainment will maximize revenue opportunities in the special events and group tours categories by driving sales leads, advancing event contracts and managing long-term relationships with event clients.

    Duties and responsibilities

    • Oversees the client sales experiences from initial event discussions, event negotiations, license agreement advancement and hand-over to the event operations team.
    • Maintain an active client list by continuously prospecting and developing new accounts.
    • Conducts market research to identify new business opportunities.
    • Coordinates and executes sales calls with any and all potential clients through cold calling, networking, attending community events, and referrals from current clients.
    • Works with event operations team to develop accurate event cost estimates prior to execution of the event license agreement.

    The Event Designer will produce drawings, diagrams and graphic packages for sporting & athletic events, as well as, concerts, hospitality, and various other events in Complex SE’s growing portfolio. Additionally, the Event Designer will be called upon to participate in various stages, including: concept, design, development, and implementation. This position will work out of Complex SE’s Denver office and will require travel to various event sites across the country during planning and operations.     Duties and responsibilities

    In-Office responsibilities:

    • Manage and organize production of drawings, diagrams, and graphic packages for sporting, athletic, and various other events. This will include both technical drawings, as well as, customer facing maps and diagrams.
    • Utilize understanding of building code and work with local permitting agencies on design solutions that accommodate local codes and meet the requirements of the event.
    • Maintain an up-to-date record or fixtures, furniture, and equipment that is being planned for the event.
    • Work with company leaders to develop and maintain firm’s best practices and standards for event design and delivery.

    Onsite responsibilities:

    • Update drawings, diagrams, and graphics, as needed or requested
    • Document on-site production and produce as-built drawings
    • Oversee event build-out projects to ensure progress is on time, within budget, and meets requirements of the event
    • Coordinate with various vendors
    • Assist with operational logistics of the event, that include both front-facing and back-of-house operations.
